Open Staff Positions

Executive Assistant - Spokane, Washington

Lee & Hayes is an award-winning, full-service intellectual property law firm with offices located in Atlanta, Austin, Portland-Metro, Rochester, Seattle, Spokane, and Washington D.C.  The firm is seeking an Executive Assistant to the President and Board of Directors in our Spokane office.   

The Executive Assistant will directly support the Firm Executive team and Board of Directors and will interact closely with staff across all administrative departments within the firm, as well as many of its 80+ attorneys. 

PRIMARY RESPONSIBILITIES:

  • Provides all administrative support functions for the President, Board of Directors, and Executive team, including: travel coordination, calendar and scheduling, processing expense reports, and maintaining various records for external membership organizations.
  • Manages and maintains multiple calendars, requiring interaction with both internal personnel and clients or their administrative teams, to coordinate a variety of complex meetings.
  • Independently creates, edits, and/or prepares documents, agendas, presentation materials, and maintains minutes for Executive team, Partnership, and Board of Directors meetings.  This will include tables, charts, and organization documents to facilitate effective and efficient completion of assignments and projects.
  • Prepares and reviews correspondence, notices, memoranda and reports independently and/or at the direction of the Executive team and Board of Directors.
  • Assists in answering questions and responding to requests directed to the President and other members of the Executive team.
  • Acts as confidential assistant to the President and Board of Directors preserving the highest confidentiality of information related to the Firm and its clients.
  • Under the direction of the President, acts as primary Project Manager for confidential Firm projects to ensure seamless coordination of multiple resources. 
  • Performs additional duties as required.

REQUIREMENTS:

  • Bachelor’s degree preferred.
  • Three or more years of experience as an Executive Assistant or Administrative Assistant or combination of education and experience preferably in a professional services firm desired (such as a law, accounting, or consulting firm). 
  • Must have excellent oral/written communication skills and the ability to effectively interface,
  • and inspire confidence with all levels of firm management, attorneys, and staff.
  • Excellent calendar management skills using Outlook including scheduling complex senior level meetings with challenging logistics.
  • Experience in handling highly confidential and sensitive information.
  • Must utilize expert secretarial skills to create quality documentation, acting independently with minimal supervision. 

  • Advanced level proficiency required in Word, Excel, and PowerPoint.  Proficiency in Adobe Creative Suite preferred. 


  • Ability to respond to rapidly changing conditions and work in a dynamic, deadline-driven environment.
